A Real Example: A Small Business Handbook, Formatted

Here's the employee handbook for a fictional 24-person home-goods retailer, Alder & Finch. The owners' draft was complete - the welcome letter, every policy, the pay and time-off details and the acknowledgment were all written and in order - but it had been typed in Word with no formatting to speak of: lowercase headings, dashes for bullets, plain grid tables and underscores for the signature lines. It also had an org chart and a fire exit map for the shop.

We uploaded that Word file to Format Magic, picked the Bastion template in its Orchard colours and ticked "Add Cover Page". Everything below is the unedited result.

What the formatting pass did

  • Policy sections became a heading hierarchy - "1. about us" through "10. leaving Alder & Finch" are styled sections, with policies like at-will employment, overtime and raising a concern nested beneath them.
  • Plain tables became styled tables - employee types, pay schedule, PTO accrual, company holidays, benefits and who to ask all have a styled header and banded rows, and the header row repeats when a table runs onto the next page.
  • Processes became numbered steps - booking time off, raising a concern and reporting an injury are real Word numbered lists.
  • The org chart and fire exit map stayed where they were put - the chart with "about us", the map with health and safety.
  • Underscores became signature lines on the acknowledgment, ready to print, sign and hand back.
  • The logo and handbook version on every page after the cover - "Handbook v3 - Jan 2027" and "page of pages" in the footer, set once in the Template Customizer, plus a cover page from the template.
  • What it didn't do: write, change or check any policy. The policies are the owners', in the owners' words and order - including the lowercase headings.

What to Include in an Employee Handbook

Most small business handbooks cover the same ground. If you're writing one from scratch, write it in roughly this order - Format Magic will turn each part into the right structure.

  1. Welcome. A short letter from the owner or CEO: who you are, what you care about, and why the handbook exists.
  2. About the company. Your story, mission and values - the part that makes it your handbook rather than anyone's.
  3. Employment basics. Employment status (such as at-will), classifications (full-time, part-time, exempt, non-exempt) and equal opportunity. A table works well for classifications.
  4. Hours, breaks and pay. Working hours, breaks, timekeeping, overtime and when payday is.
  5. Time off and leave. PTO or vacation and sick time, company holidays, and how to request leave. Accrual rates and holiday dates read best as tables.
  6. Benefits. What's offered and who is eligible, with a pointer to the full plan documents rather than repeating them.
  7. Conduct and workplace policies. Standards of conduct, anti-harassment and anti-discrimination, and a clear, numbered way to raise a concern.
  8. Technology, confidentiality and remote work. Company equipment, phones, social media and protecting company information.
  9. Health and safety. Safety rules, reporting injuries and emergency procedures - an evacuation map belongs here.
  10. Leaving the company, and the acknowledgment. Notice, returning property and final pay, then a page for each employee to sign to say they've received and read the handbook.

Which policies you must include depends on your state and how many people you employ, and the rules change. Have the finished handbook reviewed by an employment lawyer or HR adviser before you issue it, and review it once a year. Keep step-by-step procedures out of the handbook and in their own SOPs - the handbook says what the rules are, SOPs say how the work gets done.

What Format Magic Does, and What It Doesn't
